Administrative Assistant

This position must always represent the company in the most professional manner, because this is the initial contact of for new and already developed business relationships between clients and candidates. Main responsibilities include maintaining the lobby, greeting and assisting candidates and/or clients, and answering the telephones.

 

Job Duties

  1. Directly responsible for maintaining the lobby, greeting and assisting candidates and/or clients.
  2. Answering the telephones, and directing the calls to the appropriate people.
  3. Creates files for new clients.
  4. Produces weekly sales analysis reports for CEO & Branch Managers.
  5. Assisting the CEO with various projects.
  6. Word processing of correspondence, memo, employee communication, forms, etc.
  7. Responsible for keeping track of supplies, and making orders when requested.
  8. Maintains office equipment such as, fax machine, postage machine, and copy machine.
  9. Distributing packages and/or letters received via Federal Express or any other courier service to the appropriate people.
  10. Shipping packages and/or letters out via Federal Express, and tracking them when necessary
  11. All other duties, as assigned.

 

Job Requirements

  1. Must have Microsoft Office experience in an office-setting minimum of one year.
  2. Word processing experience required.
  3. Computerized spreadsheet preparation experience, familiarity with Excel a plus.
  4. Must have excellent phone skills.
  5. Must be a friendly, helpful and motivated individual with proven record of ability to work independently in a fast-paced environment.
  6. Must be a detailed-oriented person.

 Education/Job Experience

  1. Two years minimum experience as a Receptionist or in a relevant position.
  2. Must have High School Diploma or GED Certificate.
  3. Some college education preferred.

 

Language Skills (the level of ability to read, write, and speak)

The language skills required to perform this job is to have the ability to read and comprehend simple instructions, short correspondence, and memos.  Also, to have the ability to write simple correspondence; and to be able to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.

 

Mathematical Skills

The mathematical skills necessary for essential duties of this job is the ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals; and the ability to compute rate, ratio, and percent.

 

Reasoning Ability

To have the ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.  Also, to have the ability to deal with problems involving several concrete variables standardized situations.
